A first job proves the process

Most relationships start with one route or one work order. That is the right way to do it. You find out how our record arrives and whether the window we gave you means anything.

The arrangement becomes routine

On-call and program work runs off standing terms, with the same trucks and largely the same crews, so your sites stop needing a full orientation every visit.

The company, plainly stated

VacRite Environmental Services is a family owned company out of Miami, first responder owned and operated, running its own vacuum tanker fleet with service pickups behind them. We are not a broker. Every truck on your job is ours, every driver holds a CDL, and the fleet operates under USDOT 4547071 as an active carrier. The company is bonded and insured, holds a haulers permit and a dumping permit for the material that comes out of the ground, and has a master plumber on staff, which comes up more often than you would expect once an excavation turns into a piping question. The phone is answered by somebody who works here at any hour of any day, all year. Home ground is Miami-Dade, Broward and Palm Beach, with regular work north through Martin, St. Lucie and Indian River, west to Hendry and Okeechobee, across to Lee and Collier and down through Monroe. Excavation work travels statewide when the scope justifies the drive.

Insurance, authority and the paperwork your system will ask for

Prequalification systems all want the same things in slightly different shapes, and we are used to producing them. Certificates of insurance issued to the holders you name, with the additional insured and any waiver or primary and noncontributory wording your contract requires, at the limits your agreement sets. Active USDOT authority under 4547071 with the carrier record that goes with it, since a loaded vacuum tanker is a commercial vehicle and any serious utility or prime is going to look at that. CDL credentials on the drivers. Haulers and dumping permits, because a vendor who cannot show you a legal destination for spoil is a liability that lands on the generator, which is your client or you. Bonding. W-9 and company information for the vendor record. Safety, and what we actually do about it

Safety questionnaires ask for numbers and then somebody sensible asks what is behind them. What is behind ours is a small owned fleet with the same drivers on it, which is the single biggest factor in how this work goes. A crew that has run your site before knows where the truck fits, which gate the property manager cares about and where the exclusion zone sits. Our people work inside your program rather than beside it: site orientations, ground disturbance permits, escort and badging requirements, exclusion zones, lockout tagout interfaces on a plant, and traffic control plans in the right of way. Method itself is the other half of the answer, since water and vacuum excavation exists precisely because it removes the strike risk that mechanical digging carries near a marked facility. Being first responder owned shapes how the company handles an incident or an after-hours call, which is to say calmly and with a process rather than improvisation.

On-call terms, response, and what a commitment is worth

A standing agreement is only as good as the fleet behind it, which is the whole reason we do not broker work. When a prime or a utility has an on-call arrangement with a company that subcontracts its trucks, the response commitment is a promise about somebody else’s availability. Ours is a promise about our own. That is also why a scheduled window means something and why the crew that shows up for phase two of your job already knows the site. Tell us what response expectations your agreement needs, what hours it covers, and whether storm and hurricane restoration is in scope, because in South Florida that last one shapes a season. From June onward there is weather in most days’ plan, and a named storm turns a normal week into restoration work where having a vendor already inside your qualification system is obviously worth something.

What we do, what we do not, and how to scope it

Being straight about the boundary saves everyone time. We perform water and vacuum excavation and the industrial dry air version of it: test holes and potholing, daylighting over corridors, bell holes, slot trenching, utility exposure for repair crews, trenching for new runs, and emergency excavation around the clock. We handle backfill, compaction and surface restoration unless your own trade is following behind us. We handle the spoil end to end under our own permits with a record of where it landed. Alongside the excavation side the company runs grease trap, catch basin and line jetting work, which municipalities and property clients frequently buy from us on the same account. What we do not do is design, engineering sign-off, or the sealed deliverable on a subsurface utility engineering package. We produce the hole and the measurement your engineer builds that on. Scope us for the field work and the documentation, and tell us the standard we are working to.

Worth knowing

Send the actual checklist and the deadline rather than a general request for qualifications. Prequalification platforms reject far more often on certificate wording, named holders and endorsement language than on anything substantive, and one round trip of corrections can cost a week you were planning to start work in.

Questions we get asked

Are you a licensed and insured contractor?

Bonded and insured, with a master plumber on staff, running under active USDOT 4547071 and holding haulers and dumping permits for the spoil. Send your certificate requirements with the holders and wording you need and we will produce them.

Do you own your equipment or subcontract it?

Ours. Our own vacuum tankers and service trucks, our own CDL drivers, our own USDOT authority. That is why an on-call commitment from us is a promise about our fleet rather than about somebody else’s availability.

Can you complete our prequalification questionnaire?

Yes. Send the platform, the checklist and the deadline. These systems reject on formatting more often than on substance, so it helps to have the exact requirements rather than a general request.

Will you name our client as additional insured?

Send the wording your contract requires along with the certificate holders and limits. Additional insured, waiver of subrogation and primary and noncontributory language all get handled as your agreement specifies.

What are your response times for on-call work?

Tell us what your agreement needs and what hours it covers. We answer the phone with a person at any hour every day of the year, and because the trucks are ours a response commitment is something we control.

Are you set up for storm and hurricane restoration work?

Yes, and it is worth getting the paperwork done before the season rather than during an event. A vendor already inside your qualification system is the one who can actually roll when a named storm has rearranged everybody’s week.

Do you provide engineering or sealed deliverables?

No, and we will not pretend otherwise. We produce the excavation, the measurement and the field record your engineer builds on. The classification, the design and the sealed package belong with your professional of record.
